
Event Submission Guidelines
BAYSTAGES welcomes event submissions for events occurring in the nine counties of the San Francisco Bay Area. Generally any live performance, paid or free, that is open to the public may be submitted. The following are examples of events that do not fit our mission and should not be submitted.
- auditions or classes
- walking tours, sightseeing activities or sporting events
- gallery or museum events with no live performance component
- meetings, conventions, conferences or tradeshows
- parties, mixers, demonstrations or networking events
- auctions, award shows or other fund-raising events with no live performances
- book signings, readings, exhibits or lectures on a subject other than performing arts
- DJ and dance club events using only recorded music
Special screenings or broadcasts of recorded dance or music concerts, theatre performances, operas and other performing arts may be submitted. Screenings of filmed adaptations of stage works, or performing arts focused biographies or documentaries will be considered. Similarly, museum or gallery exhibits where the theme or subject is directly related to the performing arts may also be submitted.
You may want to review our Editorial Profile prior to submitting your event. All submissions are reviewed by staff for content and appropriateness. Submissions will be edited as necessary for style, grammar and other reasons. Submission of your event does not guarantee it will be listed. BAYSTAGES is not responsible for the accuracy of any listing.
The following information provides instructions or additional details on the Event Submission Form fields:
EVENT SECTION
SHOW TITLE OR PERFORMER
Either the title of the show or the name of the performer. For concerts or tours that have a subtitle, please separate with a colon. No need to use quotation marks for titles. Examples:
- Lady Gaga: The Fame Monster
- Peggy Lee: Is That All There Is?
- Kathy Griffin: Still On The D List
EVENT TYPE
Please select from the menu. If your desired event type is not shown, you may request an event type be added by selecting - NOT SHOWN - and then checking the box underneath and entering the requested event type in the NOTES field at the bottom of the screen for our review.
Site users will be able to search on Event Type, so we suggest you do not request too narrow a field. MUSIC: Jazz is fine, MUSIC: Smooth Jazz (Instrumental) is probably too specific and will exclude your event from more general searches.
VENUE
Please select from the menu. If your venue is not shown, select - NOT SHOWN - and then check the box underneath. Enter the venue information in the NOTES field at the bottom of the screen. Please include following data:
- Venue Name
- Venue Type (Theatre, bar/club, etc.)
- Address
- General Information Phone Number
- Website
- Primary Contact with Phone and Email
BAYSTAGES staff will verify the venue and add it to our database for future users.
EVENT WEBSITE
Please copy and paste your entire link including the http:// prefix.This should be the most direct link to general information about the show. There is a separate field for a ticket link. You are also welcome to submit additional links to artists, organizations, social media or other web pages in the NOTES field at the bottom of the screen.
SHORT DESCRIPTION
The field is limited to 100 characters including spaces and punctuation. This field supplies the description used if the event is included in the Daily Stages listings of our print edition. Descriptions should be third-person, concise, factual, grammatically correct and avoid hyperbole. Do not include websites, phone numbers or other data that can be entered elsewhere. Please avoid abbreviations, texting slang, excessive capitalization or subjective opinions.
Examples:
- YES: Grammy-winning songwriter celebrates her new CD of acoustic arrangements of songs by Dylan and Baez.
- NO: Probably the best versions of Dylan and Baez you'll ever hear by an astonishing new musical talent.
- YES: Updated revival of Titus Andronicus set in the world of Vegas-style prize-fighters, promoters and fans.
- NO: Hard-hitting, visionary, knock-out approach to Shakespeare's play that takes you down for the count.
- YES: Award-winning Featured Act from Portland's alt-music scene on tour with locally-based Opening Act.
- NO: Featured Act & Opening Act will ROCK UR WORLD @ their soul-searing concert that is 2GOOD2Btrue.
GENERAL DESCRIPTION
Should follow same general guidelines as above, but can be longer and include links, quotes from reviews and other descriptive information. This data will be used for further editorial consideration.
CAST/PERFORMERS
List of creative individuals involved with the performance - performers, musicians, authors, directors, and others. Limited to 100 characters including punctuation and spaces.
SHOW LENGTH
Please enter an approximate minimum running time for the performance to the nearest five-minute increment.
TICKET PRICE (LOW & HIGH)
Please enter the lowest and highest generally available ticket price for the run of the production. This should include student/senior tickets, premium seating or any other publicly available ticketing option. It should not include any fees imposed by ticket brokers or agencies. If your event is free, please enter 0 in both fields. Please do not enter dollar signs ($), just numbers.
TICKETS BY PHONE
Please enter the most direct publicly available number for purchasing tickets, whether it is your box office, a ticket broker or other number. Even if your event is free, please enter at least a general information number. Please note, this number may be published in our print edition as a means of contact for readers without immediate internet access. If you do not with to include any number, please enter 000.000.0000 and our system will accept the entry.
TICKETS WEBSITE
Please enter the most direct link for the public to purchase tickets to your event. This can include a copy and paste of the very long links that some ticketing websites create, including the http:// prefix. If your event is free, you may use a general information site for your performance.
SCHEDULE SECTION
Please see detailed instructions for entering the detailed event schedule here.
CONTACT SECTION
This information will not be published on the website or in the magazine but is needed to verify data or ask questions.
NAME, EMAIL, PHONE
REQUIRED! Please enter all three items for the primary press/media contact for the event. Our system matches these fields to contacts already on file and adds additional data to your event record. Please indicate whether the phone number is for office or mobile.
UPLOAD PR DOCUMENT
You may upload a single press release or other pertinent document at the time you submit your event. Accepted file formats include any Mac compatible text document, PDF files or Adobe Creative Suite 5 files (Photoshop, Illustrator, InDesign). You may also group documents into a compressed file (.zip or .sit). Maximum file size is 10 MB combined for photos and documents per upload.
UPLOAD PHOTO
Please upload a single photos or multiple photos in a compressed .sit or .zip file. BAYSTAGES staff will edit and prepare images for print or online use as needed. You may also group documents into a compressed file (.zip or .sit). Maximum file size is 10 MB combined for photos and documents per upload.
TITLE, COMPANY, WEBSITE
If this is your first time submitting an event to BAYSTAGES, please provide this additional data so we can add you to our contact database.
NOTES
Please use this field to send us any information that cannot be submitted in any other part of the form. You may also include additional information links here. In addition to EVENT and TICKETING, which should be very specific to event being submitted, we have the following link categories available:
